DetraPel, a fast-growing venture-backed advanced materials manufacturer based in Framingham, MA, is seeking an Office Administrator to join its Operations, Supply Chain, and Manufacturing Team. This temporary part-time position is designed for individuals who are outgoing, hardworking, and eager to contribute to a dynamic work environment. DetraPel is known for its innovative non-toxic, PFAS-free barrier coatings, which have been featured on ABC's Shark Tank. The Office Administrator will play a crucial role in supporting various operational functions, ensuring that the company maintains its high standards of service and efficiency. In this role, the Office Administrator will be responsible for responding to customer inquiries and complaints in a friendly and timely manner. The position involves ensuring that shipment standards are adhered to, ordering office supplies and raw materials, creating purchase orders, and closing batch tickets in QuickBooks. The ideal candidate will possess excellent communication skills, a strong background in customer service, and a meticulous approach to administrative tasks. This temporary position is expected to last between four to six months, with a commitment of 20-25 hours per week, offering a competitive hourly wage of $18 - $21. The Office Administrator will also be tasked with generating purchase orders and ensuring that the network supply aligns with production schedules for timely deliveries. Monitoring and maintaining optimal inventory levels, acting as a liaison between R&D and suppliers, and cataloging new materials in the database are also key responsibilities. The role requires organizing incoming materials, leading routine inventory counting sessions, and ensuring that the filing system is kept up to date. Regular communication with team members regarding project statuses and any setbacks or achievements is essential to ensure smooth operations.

Responsibilities

  • Generate purchase orders and ensure network supply is aligned with production schedules for timely deliveries
  • Monitor and maintain optimal inventory, safety stock, and replenishment levels
  • Act as a liaison between R&D and suppliers by addressing pricing, lead times, and MOQs
  • Catalog and update part numbers for new materials and products in our database
  • Ensure master files for product parts are current, encompassing both supplier data and internal records
  • Organize incoming materials: sort, label, reconcile with part numbers, handle item receipts, and store accurately
  • Lead routine inventory counting sessions, spanning weekly to quarterly frequencies
  • Schedule inbound and outbound freight shipments
  • Collaborate with the Plant Operations Manager to uphold post-production shipping and receiving standards, ensuring prompt order dispatch
  • Ensure filing system is kept up to date by scanning all requested documents
  • Inform team members regularly about the status of projects and any setbacks or achievements

Requirements

  • Customer service, bookkeeping, or administrative experience is preferred
  • Enjoys talking with customers and can communicate through verbal and written channels
  • Willing to participate in continuous learning and training
  • Proficient in Google Workspace Suite (Docs, Sheets, Drive, Slides), and QuickBooks or can quickly learn to use new programs
  • Ability to work well in a team and demonstrate collaboration in a manufacturing environment
  • Self-motivated and ambitious to build something, adaptable to set own schedule and goals
