About the position

We are seeking a full-time, experienced and highly organized administrator who will handle accounts payable, office administration, and various other bookkeeping and retail store tasks. This person will be responsible for entering and preparing bills for approval for payment, entering credit card charges and recurring payments, and performing other similar data entry tasks. Additionally, the administrator will be responsible for filing and maintaining paperwork in an organized system, opening and directing mail, and ensuring that all administrative tasks are completed efficiently and accurately. The role also involves working closely with the buying office to manage and confirm orders for merchandise, as well as corresponding with designers regarding order management issues such as returns, repairs, over shipments, and similar concerns. Other responsibilities will include some human resources management and involvement in the daily activities of the retail operation, which encompasses shipping and receiving, order and supply chain management, as well as sales and inventory management. This is a full-time, in-person position located at our office in Chicago, IL.

Responsibilities

  • Handle accounts payable and office administration tasks.
  • Enter and prepare bills for approval for payment.
  • Enter credit card charges and recurring payments.
  • Maintain organized paperwork and filing systems.
  • Open and direct mail as needed.
  • Manage and confirm orders for merchandise with the buying office.
  • Correspond with designers regarding order management issues.
  • Assist in human resources management tasks.
  • Participate in daily retail operations including shipping and receiving, order management, and inventory management.

Requirements

  • Minimum of four years of accounting/bookkeeping experience.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Extensive experience with Windows, QuickBooks Online, and Microsoft Office Suite (Outlook, Word, Excel).
  • Ability to maintain confidentiality regarding company matters.
  • Candidates must be located in Chicago and not have other part or full-time obligations.

Nice-to-haves

  • Experience with QuickBooks Online (preferred).
