About the position

The Office Administrator at Exclusive Excavating is responsible for overseeing daily office operations, ensuring efficient management of administrative tasks, and providing support to the team. This role is crucial for maintaining a smooth workflow and fostering positive relationships with clients and municipality employees. Responsibilities

  • Oversee and manage the daily operations of the office
  • Coordinate and schedule appointments and meetings
  • Answer phone calls and respond to inquiries
  • Maintain and build rapport with various customers, clients, and municipality employees
  • Manage front desk activities, including greeting visitors and directing them to the appropriate personnel
  • Maintain office supplies inventory and place orders as needed
  • Ensure compliance with company policies and procedures
  • Assist in training and development of new office staff
  • Organize and maintain physical and digital files and records
  • Assist with payroll processing and employee timekeeping
  • Order and pick up lunch as needed for Owners
  • Call/Schedule Miss Dig for pre-construction work
  • Call/Schedule any required inspection and permit work required
  • Assist with AP/AR responsibilities, including maintaining invoices and statements within QuickBooks
  • Submit and support Pre-Bid and Bid documentations through contracting portals, may include private, state, or local customers/clients
  • Assist in maintain and tracking project completion through entire project life cycle
  • Perform any additional administrative tasks as required

Requirements

  • 2-5 years of experience in office management or a similar role
  • AR/AP experience
  • Experience with MS Office Suite (Word, Outlook, Excel)
  • Experience with QuickBooks
  • Payroll Processing

Nice-to-haves

  • Project coordinating experience
  • Experience within construction field highly preferred!
  • Experience/knowledge working with municipalities
  • Experience coordinating Miss Dig
