About the position

Bona Fide Corp. is seeking a dynamic and organized Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring smooth daily operations and administrative efficiency within our company. This position requires a proactive individual who thrives in a fast-paced environment and is committed to delivering exceptional administrative support. The Office Administrator will be responsible for managing office operations, answering and directing phone calls, emails, and inquiries promptly and professionally, and assisting in scheduling appointments and meetings. You will also maintain office supplies inventory by checking stock, anticipating needs, and placing orders. Additionally, you will prepare and modify documents including correspondence, reports, drafts, memos, and emails, coordinate with vendors, suppliers, and clients, and assist in project coordination and tracking. Upholding a strict level of confidentiality and professionalism is essential in this role.

Responsibilities

  • Manage office operations and ensure organizational effectiveness.
  • Answer and direct phone calls, emails, and inquiries promptly and professionally.
  • Assist in scheduling appointments and meetings.
  • Maintain office supplies inventory by checking stock, anticipating needs, and placing orders.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Coordinate with vendors, suppliers, and clients.
  • Assist in project coordination and tracking.
  • Uphold a strict level of confidentiality and professionalism.

Requirements

  • Proven experience as an office administrator, office assistant, or relevant administrative role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to multi-task and prioritize tasks effectively.
  • Knowledge of office management systems and procedures.
  • High school diploma; additional qualifications in Office Administration are a plus.
