About the position

The Office Administrator position is a vital role supporting the Engineering team and the Materials Inspection department within a stable and successful manufacturing company located in Rochester, NY. This position requires on-site work in a metal fabrication shop floor production environment, where the employee will engage in various administrative tasks that are crucial for maintaining quality and efficiency in operations. The work schedule is from Monday to Friday, 8 AM to 5 PM, providing a consistent daytime work routine. In this role, the Office Administrator will compile required documentation and create customer datebooks, ensuring that all necessary information is accurately recorded and accessible. A significant part of the job involves reviewing material test reports (MTRs) to check them against established requirements, confirming the acceptability of materials used in production. The administrator will also log accepted materials into a database, which is essential for tracking inventory and compliance. Additionally, the Office Administrator will assist in processing warranty returns and corrective actions, collecting data to support continuous improvement projects. This includes preparing nameplates and maintaining a log of National Board registration numbers, as well as preparing and distributing controlled copies of Quality documents, including Quality Control Manuals and QC Standards. This role is integral to ensuring that the company adheres to quality standards and regulatory requirements, contributing to the overall success of the manufacturing process.

Responsibilities

  • Compiles required documentation for and creates customer datebooks.
  • Reviews material test reports, checking them against established requirements to confirm acceptability.

Requirements

  • Associates Degree in a technical discipline (preferred) or High School diploma with 5 or more years relevant experience.
  • Experience with Microsoft Office applications including Word and Excel (required).

Nice-to-haves

  • Prior experience with ASME code; reviewing MTRs; technical documentation in a welding fabrication environment are all desirable but not required.
