About the position

The Office Administrator at Idexcel Technologies Private Limited will serve as the first point of contact for various office management duties, ensuring the smooth operation of the Santa Fe Springs office and other related North American branches. This role encompasses a wide range of administrative responsibilities, including office maintenance, managing supplies, and overseeing equipment functionality. The Office Administrator will be tasked with maintaining office systems, ensuring that printers, scanners, internet connections, and telephones are operating properly, and addressing any issues that arise in a timely manner. In addition to general office management, the Office Administrator will be responsible for facility management, ensuring safety and cleanliness throughout all areas of the office. This includes maintaining an up-to-date inventory of all company assets and carrying out administrative duties related to personnel changes. The role also involves updating and implementing necessary policies and procedures related to Human Resources as requested. The Office Administrator will manage and process invoices for various vendors in collaboration with the Finance Team, plan and coordinate events and meetings throughout the year, and handle daily operational duties, including tracking cargo and ensuring the accuracy of data entry into systems such as Cello. The position requires a proactive approach to problem-solving and the ability to assist with other duties as assigned, making it essential for the candidate to exhibit strong organizational skills and attention to detail.

Responsibilities

  • Serve as the first point of contact for office management duties, such as office maintenance, mailing, supplies, and equipment.
  • Carry out administrative duties for the Santa Fe Springs Office and other related NA branches.
  • Maintain the office by ensuring office systems are all operating properly (printers, scanner, internet connection, telephone, etc.) and dealing with issues as they arise in a timely manner.
  • Routinely take care of facility management (safety and cleanliness) of all areas in the office.
  • Maintain up-to-date inventory of all company assets.
  • Carry out administrative duties in connection with personnel changes.
  • Update and implement all necessary policies and procedures related to Human Resources as requested.
  • Manage and process invoices for various vendors in a timely manner by working closely with the Finance Team.
  • Plan and coordinate various events and meetings throughout the year.
  • Daily operation duties, including tracking cargo and ensuring accuracy of data entry into Cello and other systems as needed.
  • Assist with other duties as assigned.

Requirements

  • 1+ years of office operations and administrative work experience.
  • Bachelor's Degree required in related field.
  • Bilingual Korean/English preferred.
  • Excellent computer skills (including high proficiency in Microsoft Excel, Word, and PowerPoint).
  • Effective oral and written communication skills.
  • Excellent interpersonal and organizational skills.
  • Great attention to detail and skilled in taking initiatives.
  • Ability to exhibit a high level of confidentiality.
