About the position

The Office Administrator at Clarendon Early Education Services, Inc. is responsible for managing various administrative tasks to ensure the smooth operation of the regional office. This role involves reception duties, data entry, client intake, and assisting parents with childcare referrals and transportation. The position also requires daily communication with various stakeholders and maintaining accurate records for audit readiness.

Responsibilities

  • Reception duties including greeting clients and answering phone calls.
  • Data entry and management of attendance tracking for educators.
  • Intake of clients and assisting parents with childcare referrals and transportation.
  • Daily attendance calls to educators and management of substitute care for educator closures.
  • Communication with Resource and Referral Agencies, Providers, Parents, and Staff.
  • Maintain audit-ready record keeping and daily communication with billing staff.
  • Assist the Regional Director, Billing Team, and Child Care staff in childcare and subsidy administration.
  • Preparation for professional development trainings and translation as needed.
  • Conduct evening professional development trainings as required.

Requirements

  • Knowledge of working with vouchers and Early Education and Care contracts/regulations is a plus.
  • Computer proficiency in Microsoft Word, Excel, and Access.
  • Strong interpersonal skills to work with a diverse range of culturally linguistic backgrounds.
  • Exceptional organizational skills with the ability to prioritize tasks.
  • Experience in customer service and support.
  • Professional, reliable, adaptable, and a quick learner.
  • Attention to detail and ability to resolve issues in a time-sensitive manner.

Nice-to-haves

  • Bi-lingual in English and Spanish is preferred.
  • Transferrable knowledge related to state/federal subsidy eligibility may be acceptable.
