About the position

The Office Administrator position at GFL Environmental is responsible for overseeing front office activities, including reception, mail handling, and large purchasing requests. The role involves directing and coordinating office services, developing programs for efficient service utilization, and managing office logistics such as internal moves and meeting arrangements.

Responsibilities

  • Supervise Customer Service Representatives and manage their performance and hiring.
  • Support the branch in meeting goals and requests from the division and Home Office regarding audits.
  • Manage scale house operations and coordinate special waste documents.
  • Create and maintain monthly commodity reports and process rebates.
  • Complete monthly recycling scrap reconciliation forms.
  • Process municipal PI's and track quarterly billing spreadsheets.
  • Enter new residential accounts and work orders into the ERP system.
  • Process credits and sales adjustments up to the established limit.
  • Assist Collections and Accounts Payable departments with disposal and fuel reconciliation as needed.
  • Ensure accuracy of all billing, including roll-off work orders and manual billing accounts.
  • Prepare month-end reports, including landfill accrual and commodity reports, ensuring timely completion.
  • Order and maintain inventory of office supplies.
  • Assist supervisors/managers with payroll processing for all branch personnel.
  • Complete employee data sheets and scan ADP reports in the HRIS system.
  • Train new staff on branch procedures and customer service.
  • Conduct new hire orientation and prepare new hire packets for the Home Office.
  • Maintain and schedule public relations and customer service events for the branch.
  • Back-up on incoming calls and direct messages to appropriate personnel.
  • Conform to applicable laws, regulations, and company policies, and perform other duties as requested by management.

Requirements

  • High school diploma; BS/BA in office administration or relevant experience.
  • 2-4 years of related experience and/or training.
  • 1-2 years of supervisory experience and customer service experience.
  • Familiarity with office management procedures and basic accounting principles.
  • Excellent organizational and leadership skills.
  • Excellent knowledge of MS Office and office management software (ERP, etc.).
  • Excellent interpersonal and communication skills.
  • Experience with AS400 and Tower is a plus.
