About the position

The Office Administrator at Surveying And Mapping, LLC (SAM) plays a crucial role in ensuring the smooth operation of the office by organizing and coordinating various administrative procedures. This position is essential for maintaining organizational effectiveness and efficiency within the company. The Office Administrator will provide general administrative support, which includes answering incoming calls and directing them to the appropriate parties, greeting visitors, and managing the administrative setup for new employees. Confidentiality is paramount, as the administrator will handle sensitive information and maintain the office and breakroom inventory. In addition to these responsibilities, the Office Administrator will process incoming and outgoing mail, assist with travel arrangements and expense reporting, and provide support for filing, copying, data entry, and spreadsheet maintenance. The role also involves managing the Salesforce database and planning regular company events, including coordinating food orders for employee meetings. Collaboration with various departments such as HR, Marketing, IT, Accounting, and Safety is essential to provide local support and ensure that all administrative needs are met. The Office Administrator will also be responsible for contracting and negotiating prices with office vendors and service providers, as well as providing writing and editing support for various business communications. The role may include coordinating small to medium-sized facility projects, assisting with complex special projects, and potentially training other administrative professionals as directed. Overall, this position is vital for helping SAM achieve its strategic goals and maintain its reputation as a trusted partner in the geospatial services industry.

Responsibilities

  • Provide general administrative support
  • Answer incoming calls and direct to appropriate party
  • Greet visitors
  • Responsible for administrative setup of new employees
  • Maintain confidentiality of sensitive information
  • Maintain office and breakroom inventory
  • Process incoming and outgoing mail and express mail shipments
  • Assist with securing travel arrangements and expense reporting
  • Provide support including, but not limited to, filing, copying, data entry, spreadsheet maintenance and Salesforce database tasks as needed
  • Plan and execute regular company events
  • Coordinate food orders for employee meetings
  • Coordinate and partner with HR, Marketing, IT, Accounting and Safety departments to provide local support
  • Contract and negotiate prices with office vendors and service providers
  • Provide writing and editing support for a variety of business communications
  • Coordinate small to medium size facility projects such as small internal staff moves
  • Assist with coordinating complex special projects, as assigned
  • May assist with training other Administrative Professionals, as directed
  • Perform other tasks as assigned to help accomplish the Company's strategic goals

Requirements

  • 5 plus years recent administrative experience
  • Proficient in Microsoft Office Suite - Word, Excel, Power Point, and Outlook
  • Longevity in prior employment
  • Superior communication, presentation, organization, multi-tasking and problem-solving skills
  • Ability to work independently as well as collaboratively
  • Ability to maintain privacy and confidentiality
  • 4-year degree is preferred, but not required
  • Experience with Concur Travel and Expense preferred, but not required
