About the position

As an Office Administrator at Steelhead Productions, you will play a crucial role in maintaining the day-to-day operations of our office. Your responsibilities will encompass a variety of administrative and support tasks to ensure the office runs efficiently. You will be the first point of contact for visitors and callers, and your professionalism will set the tone for the office environment. Your role is essential in creating a welcoming atmosphere and ensuring that all office systems and equipment are operational from the start of each day. In this position, you will be responsible for answering incoming calls and directing them to the appropriate person or department. You will greet and direct visitors, ensuring they feel welcomed and attended to. Maintaining a tidy and organized office space, including conference rooms, is a key part of your daily tasks. You will also handle various administrative duties, such as managing office supplies, processing incoming and outgoing mail, and assisting team members with special projects as needed. Additionally, you will provide troubleshooting assistance for office equipment and technology-related issues, coordinating with our IT vendor to ensure timely resolutions. Your understanding of Zoom and Zoom Rooms will be vital, as you will support users in our office environment. Flexibility and a proactive approach to additional tasks will be essential in this dynamic role, contributing to the overall success of our team.

Responsibilities

  • Professionally answer incoming calls and direct them to the appropriate person, mailbox, or department as needed.
  • Arrive on time each day to ensure the office is ready to open, including ensuring all necessary systems and equipment are operational.
  • Greet and direct visitors to the appropriate person or services, while responding to inquiries in a friendly and professional manner.
  • Ensure the office and conference rooms are kept tidy and well-organized on a daily basis. Ensure they are always customer-ready, and the client fridge is stocked with necessary items.
  • Perform various administrative tasks and provide support to team members as needed. This may include handling incoming and outgoing mail, managing office supplies, and assisting with special projects.
  • Offer troubleshooting assistance to employees for office equipment and technology-related issues or concerns.
  • Create tickets with our IT vendor if troubleshooting does not resolve the issue or concern and follow up to ensure timely resolution.
  • Fully understand and support Zoom users and Zoom Rooms within the office environment.
  • Coordinate with the IT vendor and end-users to ensure efficient resolution of technical issues or concerns.
  • Be flexible and proactive in performing additional tasks as needed.

Requirements

  • High school diploma or equivalent; experience in office management or related field is a plus.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Prior experience with Zoom and basic IT troubleshooting.
  • Ability to work independently and in a team.
