About the position

The Office Administrator plays a crucial role in ensuring the smooth operation of office functions within Hub Group. This position involves analyzing and organizing various office operations and procedures, including information management, filing systems, and supply requisitions. The Office Administrator will oversee the functions of office staff, ensuring that office supply levels are maintained, equipment is properly maintained, and that procedures manuals and forms are up to date. Additionally, the role requires direct cross-training of staff to maximize office productivity through the proficient use of appropriate software applications. A key responsibility of the Office Administrator is to establish uniform correspondence procedures and style practices, which are essential for maintaining a professional image. The administrator will also create and maintain a comprehensive filing system for warehouse records, which includes scheduling information, consignee records, shipping/receiving records, and customer files. Maintaining contact with customers is vital to ensure a high level of customer satisfaction, and the administrator will be expected to complete other duties as requested, including working extended hours, nights, and weekends as needed. The ideal candidate for this position will possess strong customer service skills, with a focus on performance recognition. They should be able to establish credibility and make decisive recommendations while supporting customer preferences and priorities. Proficiency in planning written and verbal communications is essential, along with strong technical skills in software applications such as Microsoft Word, PowerPoint, and Excel. Excellent interpersonal skills, both written and oral, are necessary to thrive in this fast-paced environment, where the ability to work independently and prioritize multiple objectives is crucial. Experience in a transportation office environment and billing experience are also preferred, as they will contribute to the candidate's ability to make informed decisions that affect multiple departments.

Responsibilities

  • Analyze and organize office operations and procedures such as information management, filing systems, and supply requisitions.
