Responsibilities

• Provide proactive support to office leads, department leads, executives, and C-suite members.
• Manage calendar support and meeting coordination.
• Book travel arrangements for multiple employees and liaise with travel agency vendors.
• Submit expense reports for office leads.
• Schedule interviews and prepare for client visits.
• Oversee facilities and building management, including managing building fobs and parking passes.
• Manage external vendors for office supplies and services, such as plants and coffee machines.
• Handle kitchen management and office supply management.
• Cover front desk duties as needed.
• Manage mail and FedEx accounts.
• Coordinate ticket and vendor management for office-sponsored events.

Requirements

• 1-3 years of experience in an administrative role.
• Comfortable engaging with office leads and executives.
• Experience managing and reconciling corporate credit cards for office leads.
• Proficient in calendar management and scheduling.
• Experience booking travel for multiple employees.
