About the position

The Office Administrator will be responsible for ensuring the smooth operation of the office by managing administrative tasks, coordinating office activities, and providing support to the team. This role involves handling a variety of tasks to ensure the efficient functioning of the office environment.

Responsibilities

  • Greet visitors and guests, manage front gate access for all visitors, clients, and lunch orders.
  • Manage the on-site visitor system.
  • Manage weekly ordering of lunches, coordinating with various vendors for delivery, food selection and invoicing.
  • Manage or help with HR events (take your child to work day and large group orientations) as needed.
  • Office manager point of contact for 'Giving Events'.
  • Answer phone calls and direct them accordingly.
  • Sort incoming and outgoing mail, maintain the postage machine (adding funds, replacing ink, and parts as needed).
  • Keep the front desk stocked with all shipping supplies, envelopes, tape, label holders, etc.
  • Refill and manage inventory of office snacks and supplies.
  • Scan paperwork to be filed for the HR team.
  • Code material sheets for procurement.
  • Order business cards company-wide.
  • Submit and distribute new hire apparel orders.
  • Manage new hire traveler profiles.
  • Perform weekly check destruction.
  • Organize quarterly company SWAG (selection of gift items and distribution).
  • Other tasks as assigned.

Requirements

  • High School Diploma or equivalent GED.
  • Demonstrated capability to maintain strict confidentiality with employee information.
  • Outstanding customer service orientation, sense of urgency, and a high level of personal integrity.
  • Excellent written and verbal communication skills.
