About the position

The Office Administrator will be responsible for managing various aspects of the office environment, ensuring smooth operations and providing essential support to both the Administrative Services and Finance teams. This role serves as the first point of contact for clients and visitors, managing sign-in processes and answering overflow phone calls. The Office Administrator will oversee the day-to-day operations of the Columbus office, which includes ordering supplies, handling mail, coordinating with building and maintenance vendors, and organizing office files and documents. Additionally, the role involves assisting with sales and marketing events, meetings, and the utilization of office space. In terms of operational support, the Office Administrator will assist the Administrative Services team with various tasks, such as providing customers with quotes for products and licensing, managing licensing and subscription renewals, and interacting with distributors to resolve transactional issues. The role also includes handling shipping and receiving tasks, managing RMAs, and maintaining warehouse inventory. The Office Administrator will be responsible for data entry and maintenance of PSA (Professional Services Automation) and CRM software, as well as introducing new and existing customers to the Administrative Services functions. On the finance side, the Office Administrator will perform light bookkeeping tasks, including assisting with Accounts Payable and Accounts Receivable, supporting invoicing and payment processes, and handling remote check deposits and financial-related mail. This position requires a high level of attention to detail, the ability to manage confidential information, and flexibility to adapt to changing priorities within the office environment. The Office Administrator will play a key role in supporting the overall operations of the company and contributing to a dynamic work environment.

Responsibilities

  • Serve as the first in-person point of contact for clients and visitors, managing sign-in/badges, and answering overflow phone calls.
  • Manage Columbus office operations, including ordering supplies, handling mail, working with building/maintenance vendors, and organizing office files, records, and documents.
  • Assist sales and marketing with any Columbus events, meetings, and use of our office space.
  • Support colleagues whenever there is an opportunity to do so.
  • Provide customers with quotes for products and licensing.
  • Assist with licensing, support, and subscriptions renewals.
  • Interact with distributors to resolve transactional issues and order tracking information.
  • Handle Columbus shipping/receiving, RMAs, and warehouse inventory.
  • Assist with various PSA (Professional Services Automation) and CRM software maintenance and data entry.
  • Introduce new and existing customers to Administrative Services functions.
  • Perform light bookkeeping tasks such as helping with Account Payable/Accounts Receivable.
  • Support invoicing, payments, and other transactions.
  • Assist with remote check deposits and other financial related mail.

Requirements

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong written, organizational, and verbal skills with the ability to work well and communicate with peers, vendors, and clients.
  • Excellent time management skills and multitasking abilities.
  • Strong customer service orientation and professionalism.
  • Experience in PSA/CRM software.
  • Familiarity with accounting software is a plus.
  • Attention to detail and a high level of accuracy.
  • Ability to handle confidential information with discretion.
  • Flexibility to adapt to changing priorities and the needs of the office.
  • Functioning personal vehicle for transportation and a valid OH driver's license required.
