As a dynamic, rapidly growing company, we are looking for a purpose-driven and dedicated talent to join our Human Resources / Administrative Support team. The Office Administrator will be responsible for managing front desk reception duties, including welcoming guests, answering inquiries, and maintaining a professional and organized reception area. In addition to receptionist responsibilities, they will coordinate activities and operations, providing clerical and administrative support to ensure smooth functioning. The Office Administrator will work across departments to deliver integrated solutions, with a particular focus on enhancing the overall experience for guests. Initiatives and programs will encompass coordination of activities, guest support, and efficient front desk management.

Responsibilities

  • Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for team members.
  • Takes guest complaints or issues and passes them on to the appropriate parties.
  • Coordinates the booking and setting up of meeting rooms.
  • Oversees telephone services, email correspondence, and mail distribution.
  • Maintains office and kitchen supplies inventory, including maintenance of break room coffee machine and other appliances.
  • Copies, mails, scans, and files documents to appropriate fields.
  • Leads by example and creates, participates in, and supports all internal culture building activities (corporate events, wellness activities, etc.).
  • Assists with office activities and functions to maintain efficiency and compliance with company policies.
  • Coordinates and assists in onboarding and training activities for the Corporate office (i.e., desk set up, orientation, company policies, and training programs).
  • Partners with Executive Services Manager on special projects and assignments intended to ensure Smoothie King remains a preferred place to work.
  • Possesses the ability to design internal communications for system-wide distribution (corporate email communications, etc.).
  • Maintains compliance with federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.

Requirements

  • High school diploma or equivalent is required.
  • Intermediate experience with MS Office (Word, Outlook, PowerPoint, Excel).
  • Working knowledge with ADP or other HRIS systems preferred.
  • Strong written and verbal communication skills within all levels of the organization.
  • Strong analytical, problem identification, and problem-solving skills.
  • Self-starter with ability to work independently.
  • Attention to detail while working in fast-paced environment with multiple projects.
  • Ability to work cross-functionally and to coordinate communication across diverse work groups.
