About the position

The Office Administrator position at U Design It in Brooklyn, NY, is a full-time role focused on ensuring the efficient operation of the company's printing showroom and sales center. The successful candidate will be responsible for a variety of administrative tasks that are crucial for maintaining workflow and supporting the overall business operations. This role requires a reliable individual who can manage incoming orders, coordinate with the main office in Florida, and ensure that office processes are consistent and effective. The Office Administrator will play a key role in driving sustainable growth by contributing to the smooth running of the office and supporting various administrative functions. In this position, the Office Administrator will coordinate office activities and operations to secure efficiency and compliance with company policies. This includes managing agendas, workflows, and appointments, as well as pushing orders forward to ensure timely processing. The role also involves managing phone calls and correspondence, including emails, letters, and packages. The Office Administrator will support payment processes, ensuring that payments are received from clients, and will be responsible for creating and updating accounts, invoices, and databases with personnel, financial, and other relevant data. Additionally, the Office Administrator will track the flow of office supplies and place orders as necessary, submit timely reports, and prepare orders and proposals as assigned. The ability to assist colleagues whenever necessary is also a key aspect of this role.

Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage agendas, workflows, and appointments, pushing orders forward
  • Manage phone calls and correspondence (e-mail, letters, packages, etc.)
  • Support payments and ensure payments are received from clients
  • Create and update accounts, invoices, and databases with personnel, financial, and other data
  • Track order flow of office supplies and place orders when necessary
  • Submit timely reports and prepare orders/proposals as assigned
  • Assist colleagues whenever necessary

Requirements

  • Proven experience as an office administrator, office assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Knowledge of invoicing, opening accounts, and sales
  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • Experience in sales (3 years required)
  • Experience in a printing company (2 years required)

Nice-to-haves

  • Qualifications in graphic design will be an advantage
  • Knowledge of Spanish is preferred
