About the position

The Office Administrator plays a crucial role in managing the day-to-day operations of a manufacturing facility. The ideal candidate is expected to be a high-energy individual with excellent organizational skills and a strong attention to detail. Effective communication, both written and verbal, is essential for this position. The Office Administrator will be responsible for maintaining all aspects of office clerical duties, which include managing inventory, sales, financial, and operations records. A working knowledge of QuickBooks and Microsoft Office programs is required, along with strong computer skills to integrate new software as needed. In this role, the Office Administrator will handle all accounts receivable (A/R) and accounts payable (A/P) activities through QuickBooks, reconcile customer accounts, and manage various human resources functions within the organization. This includes overseeing employee safety records and training logs, as well as ensuring the overall organization and professional appearance of the facility. The position requires the ability to perform sales order entry, reconcile books daily, and assist in maintaining continuity of paperwork for the Sales and Service Department. The Office Administrator will also be responsible for making bank deposits, running business errands, answering phones, and assisting with inventory management. Resolving issues with delinquent accounts through customer communication and verifying account accuracy through reconciliation are also key responsibilities. The work week consists of Monday through Friday, and the candidate may be required to perform other duties as needed to support the organization.

Responsibilities

  • Pay invoices after verifying information and obtaining payment authorization

Requirements

  • Administrative assistant experience
  • Proficiency in Microsoft Office including Word and Excel
  • Reliable transportation and a valid CA Drivers License
  • Ability to work Monday - Friday
  • High school diploma or equivalent (GED)
  • 1 year of experience with QuickBooks (Preferred)
  • 1 year of experience with Microsoft Office (Preferred)
