About the position

The Office Administrator position is a part-time role based in Woodland, CA, primarily focused on overseeing the day-to-day operations of a manufacturing facility. This role requires a self-starter who can manage various clerical duties and ensure the smooth functioning of the office environment. Key responsibilities include maintaining all aspects of office clerical duties, handling accounts receivable (A/R) and accounts payable (A/P) activities through QuickBooks, and performing general administrative tasks such as answering and directing phone calls, managing emails, and organizing files and deliveries. The Office Administrator will also be responsible for keeping the front office clean and organized, ordering office supplies, and ensuring that all equipment is operational. Additionally, the role involves maintaining a filing system, a contacts database, and employee lists, as well as resolving issues with delinquent accounts by communicating with customers. The work schedule consists of Monday through Friday, with expected hours ranging from 20 to 25 per week. The position requires reliable transportation and a valid California driver's license. Candidates should possess a high school diploma or equivalent (GED) and have at least one year of experience with QuickBooks and Microsoft Office programs, including Word and Excel. This role is essential for maintaining the efficiency and organization of the office, contributing to the overall success of the manufacturing facility.

Responsibilities

  • Oversee day-to-day office operations of a manufacturing facility.
  • Maintain all aspects of office clerical duties.
  • Handle A/R and A/P activities through QuickBooks.
  • Make bank deposits and run other business errands for the company.
  • Perform general administrative tasks, such as answering and directing phone calls, handling email, files, mailings, and deliveries.
  • Keep the front office clean, stocked, and organized, including the breakroom, storage closets, and communal areas.
  • Order office supplies and ensure equipment is operable.
  • Maintain filing system, contacts database, and employee lists.
  • Resolve issues with delinquent accounts through contacting and working with customers.
  • Other duties as needed.

Requirements

  • Administrative assistant experience or ability to learn quickly.
  • Proficiency in Microsoft Office including Word and Excel.
  • Reliable transportation and a valid California driver's license.
  • Ability to work Monday through Friday.
  • High school diploma or equivalent (GED).
  • At least 1 year of experience with QuickBooks (Required).
  • At least 1 year of experience with Microsoft Office (Required).
