About the position

As a Project Office Manager, you will coordinate internal resources and third parties/vendors for the flawless execution of projects. You will develop comprehensive project plans to be shared with clients and staff members, track project performance, and analyze the successful completion of goals. Meeting budgetary objectives and adjusting project constraints based on financial analysis will be key responsibilities. You will ensure that all projects are delivered on time, within scope, and within budget. In addition to project management, you will oversee general office operations, maintain office conditions, and arrange necessary repairs. Supervising, mentoring, training, and coaching the office staff while delegating assignments will be essential to ensure maximum productivity. You will also be responsible for purchasing office supplies and equipment, maintaining proper stock levels, and coordinating appointments and meetings while managing staff calendars and schedules. Planning in-house or off-site activities, creating presentations, and preparing management-level reports will also be part of your duties. Responsibilities

  • Coordinate internal resources and third parties/vendors for the flawless execution of multiple projects.
  • Develop comprehensive project plans to be shared with clients as well as other staff members.
  • Track project performance, specifically to analyze the successful completion of goals.
  • Meet budgetary objectives and adjust project constraints based on financial analysis.
  • Ensure that all projects are delivered on time, within the scope, and within budget.
  • Oversee general office operation; maintain the office condition and arrange necessary repairs.
  • Supervise, mentor, train, and coach the office staff and delegate assignments to ensure maximum productivity.
  • Purchase office supplies and equipment and maintain proper stock levels.
  • Collect and review departments' weekly reports.
  • Coordinate appointments and meetings and manage staff calendars and schedules.
  • Manage internal staff relations.
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.
  • Create presentations and other management-level reports.
  • Perform other related duties as necessary or assigned.

Requirements

  • Proven working experience as a project administrator or office administrator.
  • Solid technical background, with a basic understanding of IT.
  • Excellent client-facing and internal communication skills.
  • Solid organizational skills including attention to detail and multi-tasking skills.
  • Strong working knowledge of Microsoft Office 365.
