About the position

We are seeking a detail-oriented and organized Office Administrator to join our team at Kidz World. The ideal candidate will be responsible for overseeing daily office operations, managing administrative tasks, and ensuring the smooth running of the office environment. This role is crucial in maintaining an efficient office atmosphere and supporting various departments with their administrative needs. The Office Administrator will coordinate and manage office activities and operations to secure efficiency and compliance with company policies. This includes handling incoming calls, emails, and correspondence, managing inquiries, and directing them to the appropriate personnel. In addition to communication tasks, the Office Administrator will maintain office supplies inventory by checking stock levels, anticipating needed supplies, and placing and expediting orders for supplies. The role also involves assisting in the preparation of regularly scheduled reports and managing the office budget to ensure accurate and timely reporting. The Office Administrator will support departments with administrative tasks as needed, which may include creating and preparing monthly calendars and updating the company website. This position requires a proactive individual who can handle multiple tasks simultaneously while maintaining a high level of organization and attention to detail.

Responsibilities

  • Coordinate and manage office activities and operations to secure efficiency and compliance with company policies
  • Handle incoming calls, emails, and correspondence; manage inquiries and direct them to the appropriate personnel
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies

Requirements

  • Proven work experience as an Office Administrator, Office Assistant, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with file management, front desk duties, calendar management, and vendor management
  • Knowledge of human resources processes is a plus
  • Excellent organizational and time-management skills
  • Strong communication abilities both written and verbal
  • Ability to handle multiple tasks simultaneously
