About the position

As an Office Administrator at RISE Services, Inc., you will be integral to the smooth operation of the clinic, overseeing daily office functions, managing employee records, and acting as the primary contact for office-related inquiries. This role emphasizes organization, communication, and support for both staff and clients, ensuring a positive and efficient office environment.

Responsibilities

  • Overseeing daily office operations, including scheduling, managing supplies, and ensuring a well-organized workspace.
  • Assisting in HR and onboarding processes by managing employee records, coordinating new hire orientation, and supporting employee engagement initiatives.
  • Acting as the primary point of contact for office-related inquiries for families, coordinating with internal departments, vendors, and clients.
  • Maintaining records and preparing reports for management to support data-driven decision-making.
  • Supporting financial processes, including invoicing, budget tracking, and expense management.
  • Using productivity tools to streamline processes, enhance office efficiency, and support a positive office environment.
  • Reviewing, screening, prioritizing, and expediting pediatric referrals and intake inquiries received.
  • Participating in the creation and maintenance of consent forms, clinic agreement forms, information packages, and other documents used in the clinic.
  • Scheduling and organizing meetings as requested.
  • Managing and coordinating office workflow, scheduling, client files, and additional documentation.
  • Providing efficient responses to clients, doctors, and staff needs/inquiries.
  • Developing positive relationships with staff and clients.
  • Analyzing and organizing clinical office operations and procedures.
  • Ensuring that patient and clinical employee records are current and accurate.
  • Monitoring and maintaining inventory of necessary office supplies; ordering supplies as needed.
  • Maintaining and updating office phone list, email distribution lists, and resource information.
  • Attending all scheduled workdays and maintaining a professional appearance.

Requirements

  • 18 years or older
  • High School Diploma
  • Proof of employment eligibility
  • Valid driver's license, proof of valid car insurance, and reliable transportation
  • 2+ years of experience of client-facing administrative work (preferred, not required).
