About the position

The Office Administrator at Alliant Insurance plays a crucial role in ensuring the effective operation of the Senior Savings Network office located in North Charleston, SC. This full-time position, operating at 37.5 hours per week, is essential for managing various high-level operational and administrative functions. The Office Administrator will be the primary point of contact for clients and business partners, providing leadership and hands-on support in areas such as new business processing, branch office administration, compliance, IT support, and personnel administration. This role requires a proactive approach to managing the office's daily operations and ensuring that all processes run smoothly and efficiently. In this position, the Office Administrator will oversee the insurance and annuity business processing, ensuring that all operations are conducted in compliance with company policies and industry regulations. The administrator will support the General Manager in the agent recruiting process, managing all aspects of agent onboarding, including tracking recruiting activities, scheduling interviews, and ensuring that all necessary paperwork is completed accurately and submitted on time. Additionally, the Office Administrator will be responsible for training agents on new business procedures and maintaining communication with the Home Office HR for personnel-related matters. The role also involves compliance responsibilities, including delivering compliance orientation training, supporting branch office audits, and maintaining accurate compliance records. The Office Administrator will work collaboratively with fellow staff members on special projects and assignments, contributing to the overall mission and values of Futurity First. This position requires a high level of organization, attention to detail, and the ability to manage multiple urgent requests while maintaining a professional demeanor in all interactions.

Responsibilities

  • Oversee insurance and annuity business processing.
  • Support General Manager in the agent recruiting process.
  • Ensure all appropriate appointment paperwork is completed and submitted to Contracting.
  • Manage tracking of all agents recruiting activity from initial contact through onboarding.
  • Schedule interview appointments and monitor recruits' participation in preparatory online courses.
  • Manage all new advisor documents and licensing paperwork.
  • Notify Human Resources of all personnel-related changes in a timely manner.
  • Train agents on New Business procedures and processes.
  • Verify access and become skilled on all Futurity online business tools.
  • Monitor office expense activity against branch budget.
  • Deliver compliance orientation training and support branch office compliance audits.
  • Conduct preliminary review of branch office/advisor advertisements and promotional literature.
  • Maintain files and records that may contain confidential information.
  • Support advisor recruiting, development, training, supervising, and performance-coaching.
  • Assist with special projects/assignments as requested by management.

Requirements

  • College degree and/or Industry designation.
  • Two or more years of administrative experience in a sales or recruiting environment.
  • Knowledge of insurance sales/distribution organizations.
  • Experience as an office administrator in a life and health insurance agency or brokerage office preferred.
