Responsibilities

  • Manage office supplies inventory and place orders when necessary
  • Coordinate and schedule appointments and meetings
  • Handle incoming calls, emails, and other communications
  • Perform data entry, file management, and document preparation tasks
  • Assist in bookkeeping tasks using QuickBooks
  • Oversee initial intake of customer/client and direct to appropriate team member
  • Maintain office policies and ensure they are up to date

Requirements

  • Proven experience as an Office Administrator, Office Assistant, or relevant role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to prioritize work
  • Strong organizational skills with a problem-solving attitude
  • Ability to communicate effectively with all levels of the organization
  • Experience in insurance, banking, accounting or legal fields a plus
  • Familiarity with phone systems and clerical procedures

Nice-to-haves
