The Office Administrator will play a vital role in our team, serving as an Office Manager and small business Bookkeeper, adept at wearing multiple hats and supporting various departments. This individual will handle calls for the production and sales teams, providing excellent customer service by sharing information with the relevant teams or transferring calls when team members are available. This role is essential for maintaining the smooth operation of the office and ensuring that all administrative tasks are executed efficiently. Key responsibilities include customer service, where the Office Administrator will be responsible for answering calls and emails promptly, providing accurate information, and ensuring excellent customer service. Job coordination is another critical aspect of this position, which involves monitoring emails, sending out DocuSign documents to customers, and coordinating with the production team for job execution. Financial management is also a significant part of the role, as the Office Administrator will act as the QuickBooks Enterprise expert, managing all financial aspects for the company. This includes processing payments, sending receipts, invoicing customers upon project completion, and following up on past due balances. Additionally, the Office Administrator will handle various administrative tasks to ensure a highly organized office environment with meticulous attention to detail. This includes handling walk-ins and maintaining a professional presence at the front office. The position requires a proactive individual who can manage multiple tasks efficiently and contribute to the overall success of the team.

Responsibilities

  • Answering calls and emails promptly, providing accurate information, and ensuring excellent customer service.

Requirements

  • 4+ years of experience in an office administrative role.
  • Advanced QuickBooks experience.
  • Strong organizational skills and keen attention to detail.
  • Ability to manage multiple tasks efficiently.

Nice-to-haves

  • Experience in plumbing, HVAC, or construction preferred but not required.
