The Administrative Coordinator plays a crucial role in this mission by helping clients engage in treatment and wellness. This position is responsible for scheduling clients for initial evaluations, follow-ups, and psychotherapy appointments, as well as performing other duties related to the intake process. The Administrative Coordinator will respond to inquiries for outpatient referrals, gather demographic and insurance data, and collect preliminary client information to identify the appropriate clinician for each client. Additionally, this role involves verifying insurance coverage, obtaining authorizations, and entering all required information into the appropriate electronic system. As a point of contact for patients, their families, outside agencies, and referrers, the Administrative Coordinator works to engage clients in their care and coordinates efforts with other offices to ensure timely, quality customer service for all inquiries. This position requires excellent interpersonal skills, warmth, patience, and appropriate boundaries to communicate effectively with clients and various stakeholders. The work environment is modern and fast-paced, with growth opportunities and on-the-job training available. The ideal candidate will have a Bachelor's degree and at least two years of experience in a mental health front desk role, demonstrating proficiency in Microsoft Office and familiarity with medical and insurance documentation. The ability to maintain client confidentiality and privacy is essential, as is the capacity to multi-task in a high-volume healthcare environment. Overall, this role is vital to the success of the clinic, ensuring that clients receive the support they need while navigating their mental health journeys.

Responsibilities

  • Schedule clients for initial evaluations, follow-ups, and psychotherapy appointments.
  • Respond to inquiries for outpatient referrals and gather demographic and insurance data.
  • Collect preliminary client information to identify the appropriate clinician.
  • Verify insurance coverage, obtain authorizations, and enter required information into the electronic system.
  • Serve as a point of contact for patients, their families, outside agencies, and referrers.
  • Engage clients in their care and coordinate efforts with other offices.
  • Ensure timely, quality customer service for all inquiries.
  • Respond to all calls and written referrals within 24 hours or less.
  • Edit documents, generate reports and logs, and summarize quality monitors.

Requirements

  • Bachelor's degree in Business Administration, Psychology, Social Work, or related field preferred.
  • 2 years of directly job-related experience in a mental health setting.
  • Proficient in the use of a personal computer with Windows software.
  • Understanding of mental health issues and terminology through education or experience.
  • Ability to maintain and protect client confidentiality and privacy.
  • Excellent interpersonal skills, warmth, patience, and appropriate boundaries.
  • Strong written and verbal communication skills for phone calls, letters, and documentation.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to work with a diverse population and understand serious mental illness.
  • Knowledge of COMAR and CARF standards.
  • Analytical ability to gather and interpret data and resolve client concerns.
