About the position

The Office Administrator at Mindful Medicine is a full-time role focused on managing various administrative and operational tasks within a dynamic office environment. The position requires a detail-oriented individual who can multitask effectively while providing excellent service to clients and patients. The role involves direct interaction with patients, social media management, and supporting the overall functionality of the office.

Responsibilities

  • Perform a variety of administrative and operational tasks, including logistics, client guidance, user assistance, and security.
  • Manage patient interactions, including taking payments, sending receipts, rescheduling appointments, greeting patients, and guiding them to the appropriate clinician's office.
  • Serve as premises security during group sessions.
  • Handle social media management and execute social media marketing strategies.
  • Manage email communications, responding to client inquiries regarding service availability, scheduling, and closing sales of our services.
  • Assist with light maintenance tasks, such as hanging shelves or performing minor repairs (preferred but not required).
  • Purchase office supplies online or at local stores as needed.

Requirements

  • Strong multitasking ability with a proactive approach to both administrative and hands-on tasks.
  • Basic skills in social media management and social media marketing.
  • Excellent communication and customer service skills.
  • Organizational skills and attention to detail are essential.
  • Willingness to take on various tasks as needed to support the office.

Nice-to-haves

  • Experience in social media marketing is a plus.
  • Ability to perform light maintenance tasks.
