About the position

We are seeking a reliable and proactive Office Administrator to manage administrative operations and support the smooth running of our office. The ideal candidate will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The Office Administrator will be comfortable working with a high degree of attention to detail and discretion, as well as incorporating new and effective ways to achieve better results. This role is crucial in maintaining the organization and efficiency of the office environment, allowing other team members to focus on their core responsibilities without administrative distractions. The Office Administrator will be responsible for managing office supplies stock and placing orders as necessary. They will prepare regular reports on expenses and office budgets, maintain and update various company spreadsheets related to vendors, gifts, purchases, and quotes. Organizing a filing system for important and confidential company documents is also a key responsibility. The role requires answering office-related inquiries, which may include handling shipping, mail receipt, required services, maintenance queries, or supplies procurement. Additionally, the Office Administrator will update office policies as needed and schedule meetings with various vendors to obtain bids for required office or company services, which may be conducted in-person or online. Other duties include distributing and storing correspondence, preparing reports and presentations with statistical data, arranging travel and accommodations when needed, and managing various orders or gift cards for incentives. The Office Administrator will also coordinate with vendors, submit expense reports for team members, perform light cleaning duties, and set up meetings for the Director of Operations. Conducting audits and collaborating with marketing to communicate office reminders for meetings, events, and updates are also part of the role. The Office Administrator will be expected to obtain and compare quotes as needed and perform other tasks as assigned.

Responsibilities

  • Coordinate and find various vendors needed for the office
  • Submit expense reports for various team members
  • Perform light cleaning duties and food handling
  • Set up meetings and facilitate their smooth development for the Director of Operations
  • Conduct audits as assigned
  • Collaborate with marketing to communicate office reminders for meetings, events, lunch notices, and office updates
  • Obtain and compare quotes as needed
  • Perform other tasks as assigned

Requirements

  • Proven experience as an Office Administrator, Office Assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP, etc.)
  • Qualifications in secretarial studies will be an advantage
  • Integrity and professionalism

  • Positive attitude and strong work ethic
  • Ability to work independently with minimal supervision
  • High school diploma; additional qualifications in Office Administration are a plus
