POSITION DESCRIPTION
Responsible for greeting customers and visitors with a positive, helpful attitude, by welcoming, and directing them professionally and appropriately; notifies company personnel of visitor arrival; and maintains telecommunications system. Provide high level of customer service to phone customers as well as customers and guests in the office. Is an extension of the A&F Department and supports administrative tasks where necessary.
ESSENTIAL DUTIES & RESPONSIBILITIES
* Professionally manage phone call volume and directs calls to specific employees or departments. Warmly greet and directs visitors to appropriate employee.
* Coordinate the mail flow in and out of the office. Mail out customer invoices and other documents in a timely manner.
* Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
* Work closely with all departments to provide administrative support and complete assigned tasks timely, professionally, and effectively. (Specific duties should be identified and monitored)
* Maintain and organizes accounting files and ensures file area cleanliness.
* Collect all information needed to calculate bills receivable (timesheets, quantities, etc.)
* Collect information for DOT quantity counts as needed.
* Inspect all the invoices to identify any errors before invoice delivery.
* Issue invoices and bills and sent them to customers through various channels (mail, e-mail etc.)
* Update accounting records with new payments, balances, customer information etc.
* Answer questions and handle complaints from customers regarding bills
* Assist other areas of accounting, as needed
QUALIFICATIONS
* High School Diploma or equivalent.
* Excellent Telephone Skills and Verbal Communication Skills, Microsoft Office Skills, Listening and Professionalism. Takes thorough written messages and delivers messages in a timely manner or transfers calls to voicemail when appropriate personnel are not available.

* Prior experience as a receptionist or in related field; competency in Microsoft Office applications such as Word and Excel.
* Effective communication skills including active listening and asking appropriate questions
* Possessing customer orientation and ability to adapt/respond to different types of personalities
* Highly organized and able to follow a systematic method of performing a task
* Ability to actively listen to customers and coworkers to ensure that duties are performed accurately.
* Must maintain friendly, positive, cheerful demeanor and adapt/respond to all customer personalities.
* Demonstrates a consistent positive attitude to support a productive work environment. Cooperates, communicates and works well with coworkers. Treats all employees and customers respectfully.
* Regular and punctual attendance is required.
* Maintains a clean and safe work environment at all times and adheres to safety and security standards in the performance of all job duties, and immediately reports all safety hazards or incidents to a supervisor.
* Adheres to work rules and Company policies.
* Performs other projects and duties as assigned.
* Proficiency in both English and Spanish is highly preferred
