About the position

EIDIM Group Inc. is seeking a dedicated Office Administrator to join our team in Fullerton, CA. The Office Administrator will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks and supporting the overall efficiency of the organization. This position is full-time and requires a proactive individual who can handle multiple responsibilities while maintaining a high level of organization and communication. The primary responsibilities of the Office Administrator include processing and updating essential documents for EIDIM Corporation, such as permits, business licenses, certifications, car registrations, and insurance. The successful candidate will also be responsible for sending insurance and bid bond requests, coordinating bonding processes upon receiving notice of award, and managing FedEx label processing. Daily tasks will involve updating the Permit, License, and Insurance Log, checking backlogs, and scheduling appointments and travel arrangements. In addition to document management, the Office Administrator will serve as the initial point of contact for the company, handling phone and email communications, and managing general correspondence. The role requires maintaining office supplies inventory, ensuring the office environment is tidy and well-organized, and assisting in planning and coordinating company events, meetings, and conferences. The Office Administrator will also provide administrative support to senior management, including making travel arrangements and preparing expense reports. The ideal candidate will possess a Bachelor's degree or at least one year of experience in a related field. They should be able to work independently as well as collaboratively with team members to ensure a smooth workflow. Proficiency in Microsoft and Google applications is essential, along with experience in managing schedules, appointments, and travel arrangements. The Office Administrator will also be responsible for ensuring compliance with company policies and procedures and assisting in the development and implementation of administrative policies.

Responsibilities

  • Process and update documents for EIDIM Corporation
  • Process permits, business licenses, certifications, car registrations, and insurance
  • Send Insurance and Bid Bond requests
  • Coordinate bonding processes upon notice of award
  • Process FedEx labels
  • Update Permit, License, and Insurance Log
  • Check backlog daily
  • Schedule appointments and travel arrangements
  • Manage phone plan, internet, and electricity
  • Coordinate weekly meetings and Zoom meetings
  • Ensure completion of assigned projects under deadlines
  • Collaborate effectively with team members
  • Process expense reports
  • Conduct research and compile data as required
  • Maintain office supplies inventory
  • Handle mail and courier services
  • Act as the initial point of contact for communications
  • Prepare, manage, and file documents
  • Assist in scheduling meetings and appointments
  • Accurately input and maintain data in various systems
  • Provide administrative support to senior management
  • Assist in planning and coordinating company events, meetings, and conferences
  • Ensure compliance with company policies and procedures

Requirements

  • Bachelor's degree or at least one year of experience in a related field
  • Valid Driver's License without DUI
  • Experience in managing schedules, appointments, and travel arrangements
  • Experience in handling documentation such as permits, business licenses, certifications, and insurance
  • Proficiency in Microsoft and Google applications
