About the position

JAN-PRO Franchise Development - Twin Cities is seeking an Office Administrator responsible for supporting the Regional Office in providing excellent customer service to Jan-Pro Franchisees and their customers. The role involves being the primary receptionist, coordinating interactions, responding to needs, and ensuring high customer satisfaction. This position is onsite in Hopkins, with daily office hours from 8 AM to 5 PM, Monday through Friday.

Responsibilities

  • Welcome existing and prospective franchisees, vendors, and visitors to the office at the front desk in a pleasant and professional manner
  • Receive service related calls from customer accounts, franchisees, vendors, etc. and handle or direct as necessary
  • Complete reports associated with customer accounts and customer needs
  • Coordinate the timely dissemination of information relating to customers to all appropriate personnel
  • Assist in scheduling brand standard audits and follow up with franchisees with the results of audit, if necessary
  • Follow up with franchisees and their customers to ensure services have been completed as expected
  • Make proactive customer service and payment collection calls to Franchisees customers
  • Solicit positive reviews from satisfied customers and franchisees
  • Assist with social media calendar and posts to highlight positive activities and promotions
  • Input and process information into our CRM
  • Contribute to high customer retention and identify areas of improvement by following up on lost accounts

Requirements

  • A team player attitude that will play an important role on our Operations Team to support our 180+ franchisees in all aspects of their business
  • The ability to handle multiple assignments and deadlines with accuracy and pride of ownership

  • Strong organizational and time management skills, including prioritization and follow-through
  • Pleasant and confident telephone demeanor
  • Excellent written and verbal English communication skills
  • Excellent interpersonal skills and a desire to achieve a high level of customer satisfaction
  • Proficient in MS Office programs (Word, Power Point, Excel, and Outlook) and Internet operations
