About the position

The Office Administrator at HNTB Corporation plays a crucial role in supporting the Round Rock office by performing a variety of administrative functions. This position involves managing office operations, assisting with onboarding new employees, and ensuring effective communication within the office. The Office Administrator will utilize various software applications to facilitate tasks and maintain a positive work environment.

Responsibilities

  • Perform administrative duties in support of office staff including coordinating and scheduling calendar appointments, meetings, and travel.
  • Prepare a variety of correspondence under general guidance.
  • Receive and direct incoming calls and welcome visitors.
  • Furnish information and respond to routine correspondence when necessary.
  • Coordinate the receipt, distribution, and delivery of mail both to and from the office.
  • Deliver new hire orientation when needed.
  • Coordinate local policy and procedures with the appropriate corporate and/or divisional functions.
  • Recommend changes in process or procedure to management.
  • Prepare reports, gathering and summarizing data from multiple sources.
  • Organize and maintain office files (electronic and hardcopy) in accordance with internal retention policy.
  • Prepare and submit expense reports on behalf of office staff.
  • Support Accounts Payable functions by accurately coding and processing invoices.
  • Track and coordinate the acquisition and distribution of materials, supplies, and equipment.
  • Maintain inventory of furniture and equipment.
  • Assist with office moves in coordination with Corporate Procurement and facilities.
  • Coordinate with facilities on any building maintenance issues.
  • Track mileage and ensure maintenance of vehicle fleet.
  • Perform other duties as assigned.

Requirements

  • High School Diploma/GED or equivalent.
  • 4 years related administrative experience.
