About the position

The Office Administrator at AGC of South Dakota plays a crucial role in ensuring the smooth operation of the office and supporting the overall effectiveness of the organization. This position is responsible for a variety of administrative tasks that contribute to the efficiency of the office environment. The Office Administrator will be the first point of contact for visitors and will handle daily office operations, which include answering phones, greeting visitors, processing mail, and managing office supplies and equipment. Maintaining the general appearance of the office and facilities is also a key responsibility, ensuring that the work environment is welcoming and productive. In addition to daily operations, the Office Administrator will provide essential administrative support to staff and partner associations. This includes scheduling meetings, managing travel arrangements, maintaining calendars, and handling correspondence. The role also involves assisting with event coordination for various activities such as meetings, conventions, social events, and recreational activities like hunting and golf. The Office Administrator will support member inquiries and contribute to the production of newsletters, social media content, and website updates, ensuring that communication is clear and effective. The Office Administrator is expected to provide backup support for various departments, including Membership, Accounting, and Marketing, demonstrating flexibility and a willingness to assist the team in any way possible. This position requires a proactive approach to problem-solving and a strong service-oriented mindset, as the Office Administrator will interact with a diverse range of individuals both within and outside the organization.

Responsibilities

  • Complete daily office operations such as answering phones, greeting visitors, processing mail, managing office supplies or equipment, general appearance, and facilities.
  • Provide administrative support to staff and partner associations including scheduling meetings, travel, calendars, correspondence, etc.
  • Assist with event coordination for meetings, conventions, socials, camps, hunting, shooting, and golf events.
  • Support member inquiries, newsletter production, social media efforts, website content, meeting notices, agendas, and meeting minutes.
  • Provide backup and task support for staff including Membership, Accounting, and Marketing efforts.
  • Assist the Team in any way possible as needed.

Requirements

  • High School Diploma or equivalent.
  • Previous experience in office administration or related roles preferred.
  • Strong organizational and time management skills.
  • Proficiency with Microsoft Office and office technology, content creation software a plus.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and problem-solving skills.
  • Service-oriented with friendly personality and sense of urgency.
