About the position

The Office Administrator at RE/MAX Advantage is responsible for ensuring the smooth and efficient operation of the office. This role requires exceptional customer service skills, strong organizational abilities, and the capacity to handle multiple tasks simultaneously. The Office Administrator will manage front desk operations, assist with administrative tasks related to real estate transactions, and contribute to the office's social media presence.

Responsibilities

  • Manage the front desk and greet guests and agents warmly.
  • Provide friendly and professional phone assistance.
  • Assist with closing documents and review/upload documents for real estate agents.
  • Record transactions using Google Sheets and process commission checks through QuickBooks.
  • Audit transactions related to listings and contracts within the document management platform.
  • Create, distribute, and revise commission letters.
  • Manage monthly agent board duty calendars.
  • Support onboarding and offboarding activities as required.
  • Contribute to the office's social media presence by posting engaging content.
  • Ensure inventory control of office supplies and maintain a clean and organized appearance of common areas.

Requirements

  • Strong administrative skills with exceptional customer service.
  • Self-sufficiency and multitasking abilities.
  • Effective written and verbal communication skills.
  • General proficiency in computer and technology usage.
  • Proficiency with Google Docs and Sheets.
  • Good working knowledge of QuickBooks, DotLoop, Canva, and Facebook/Instagram.

Nice-to-haves

  • Two years of administrative experience, ideally within the real estate industry.
