About the position

The Office Administrator will provide essential support to the Service Department through various administrative tasks, including billing, invoicing, and dispatching. This role emphasizes strong customer service skills, attention to detail, and the ability to manage multiple tasks efficiently, contributing to the overall success of the department.

Responsibilities

  • Provide backup phone assistance to the service, parts, and dispatch teams.
  • Review and update work orders, track parts orders, and coordinate with technicians and office staff.
  • Follow up on warranty claims, communicate with customers and technicians, and input data into the system.
  • Assist with preparation tasks for school startups, including spreadsheet creation and scheduling calls.
  • Schedule weekly safety training sessions and manage online course enrollments.
  • Monitor and submit weekly service technician hours to payroll/HR.
  • Sort, distribute, and assist with billing and report preparation for the Service Department.
  • Organize and maintain electronic and physical filing systems.
  • Handle other office duties as assigned by the manager.

Requirements

  • High school diploma required; additional education or training is a plus.
  • Prior administrative experience is preferred; experience in the HVAC industry is beneficial but not required.
  • Strong organizational and multitasking abilities.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office and general office technology.
  • Attention to detail and accuracy in all tasks.
