The administrator will be responsible for scanning and filing essential documents, particularly bid documents, which involve reviewing, preparing, and submitting materials for public works bids. This role is vital in supporting the bidding process and ensuring compliance with all necessary regulations and requirements. In addition to bid management, the Office Administrator will compile, reconcile, and file daily reports, material tickets, and vendor invoices, ensuring that all project-related documentation is organized and accessible. Proper filing and maintenance of these materials are essential for project tracking and accountability. The administrator will also handle mail sorting and sending, as well as prepare certified payroll and monthly manning reports, which are critical for project management and financial tracking. The role may also include other assigned duties as required, making adaptability and a willingness to take on various tasks important traits for success in this position. The ideal candidate will possess strong administrative skills, particularly in the Microsoft Office suite, including Outlook, Excel, Word, and PowerPoint. A Bachelor's degree is required, along with some clerical or administrative experience, preferably within the construction industry. Excellent writing skills, the ability to multi-task, and strong organizational capabilities are essential. The candidate must also hold Notary Public status and be able to collaborate effectively with different departments and all levels of project staff. Working in a fast-paced environment is a key aspect of this role, and the ability to prioritize tasks efficiently will contribute to the overall success of the projects undertaken by the company.

Responsibilities

  • Answer phone and direct calls as needed
  • Scan and file documents
  • Bid documents review, preparation, and submission for public works bids

Requirements

  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Bachelor's Degree required
  • Some clerical/administrative experience, preferably in the construction industry preferred
  • Excellent writing ability
  • Ability to multi-task, organize, and prioritize work
  • Notary Public status required
  • Ability to work with different departments within the company
  • Ability to work with all levels of project staff and organization
  • Ability to work in a fast-paced environment
