In this role, the Office Administrator will be responsible for a variety of tasks that include data processing, sales order entry, transaction entry related to cooking and packing, and receiving purchase orders. The position also involves accounts receivable (AR) tasks such as sending invoices, monitoring the AR email inbox, applying cash receipts, and troubleshooting any AR issues. Additionally, the Office Administrator will handle accounts payable (AP) tasks, including monitoring the AP email inbox and submitting credit applications. The role requires strong organizational skills and the ability to manage multiple tasks efficiently. The Office Administrator will also be involved in cash flow management, including creating cash flow forecasts and processing consumer refund checks. Responsibilities

  • Data processing and sales order entry
  • Transaction entry related to cooking and packing
  • Receiving purchase orders (POs)
  • Accounts receivable (AR) invoice shipments
  • Sending invoices via email and EDI
  • Monitoring AR email inbox
  • Applying cash receipts in ERP system
  • Picking up checks and troubleshooting AR issues
  • Accounts payable (AP) invoice POs in ERP system
  • Monitoring AP email inbox and troubleshooting AP issues
  • Submitting credit applications
  • Tracking accruals and presenting monthly meetings on over/underspends
  • Inputting accrual for new Costco sales orders weekly
  • Tracking existing accruals and managing cash flow/disbursements
  • Creating cash flow forecasts weekly
  • Processing consumer refund checks
  • Submitting temporary payroll weekly and creating invoices for temp services
  • Troubleshooting temporary payroll hours and inputting data into reports

Requirements

  • Bachelor's degree required
  • 1 year of experience in data entry/processing preferred
  • Proficiency in email, file management, and task management software
  • Strong skills in spreadsheet applications, including pivot tables and filtering
  • Ability to handle payroll portal tasks
  • Comfortable with phone calls and setting deadlines
