About the position

Geosyntec Consultants, Inc. is seeking an Office Administrator to provide high-level administrative support in a busy engineering consulting environment. The role involves assisting technical staff with various administrative functions, client deliverables, and marketing materials, while also serving as the local HR point of contact. The position is based in Ann Arbor, Michigan, with occasional travel to other local offices. The ideal candidate should thrive in a fast-paced environment and have experience supporting senior managers in a client service-focused industry.

Responsibilities

  • Serve as liaison between local offices and corporate management, responding to inquiries appropriately.
  • Ensure proper orientation of new employees and completion of employment documents.
  • Maintain security files and liaise with building maintenance and vendors.
  • Oversee purchase of office supplies and service calls for office equipment repair.
  • Maintain and balance office checking and petty cash accounts; assist with budgeting and collections.
  • Process proposal or business development letters and reports using Microsoft Office Software.
  • Maintain employee information specific to projects and professional licenses.
  • Assist with ongoing marketing activities and client contact preparation.
  • Ensure timely and accurate completion of new hire and updated employee records.
  • Assist local hiring teams with recruiting efforts and communications regarding corporate policy updates.

Requirements

  • High school diploma or GED with six years of experience, or an associate degree with four years of progressively responsible experience in an office administration role.
  • Proven track record in a professional environment, preferably in consulting or client service.
  • Strong interpersonal skills and ability to act independently with critical thinking and problem-solving skills.
  • Ability to prioritize and organize work effectively, handling multiple tasks in a professional manner.
  • High attention to detail, strong work ethic, and ability to maintain confidentiality.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Windows environment.
  • Valid U.S. driver's license and satisfactory driving record for business travel.
