About the position

The Office Administrator at Coca-Cola Beverages Northeast plays a crucial role in ensuring the smooth operation of the Sales & Distribution Center. This position involves performing settlement and cashiering duties in accordance with standard company procedures. The Office Administrator is responsible for reviewing and verifying end-of-day driver paperwork, ensuring that proof of deliveries is included, and preparing driver paperwork for imaging. Additionally, the role requires maintaining a log of missing documents, researching and resolving driver overages and shortages, and running daily route status reports to verify that all delivery routes have been settled. The Office Administrator will also review settlement exception reports, troubleshoot handheld issues impacting settlement, and maintain cash reconciliation and driver deposit logs. Cashiering duties are a significant part of the role, including ensuring the Fed-Ready status of deposits, preparing deposits for pick-up by armored car services, and ensuring the security of route cash. The position requires receiving and verifying full service bag counts, counting full service cash, and finalizing handheld transactions. Furthermore, the Office Administrator will validate the proper use of cash drop logs, research mail checks, print back-up documentation, and code in the Payment Manager. In addition to these responsibilities, the Office Administrator will complete miscellaneous tasks such as answering phone calls, greeting visitors, and performing various administrative duties as assigned. This role is essential for maintaining the operational efficiency of the Sales & Distribution Center and ensuring compliance with company policies and procedures.

Responsibilities

  • Review and verify end of day driver paperwork
  • Ensure proof of deliveries are included in driver paperwork
  • Prepare driver paperwork for imaging
  • Maintain missing documents log
  • Research and resolve driver overages and shortages
  • Run daily route status report to verify that all delivery routes have been settled
  • Review settlement exception report and resolve issues
  • Report settlement issues to accounting department
  • Troubleshoot handheld issues impacting settlement
  • Maintain cash reconciliation and driver deposit log
  • Perform cashiering duties including Fed-Ready status of deposit
  • Prepare deposit for pick-up by armored car service
  • Ensure security of route cash
  • Receive and verify full service bag count
  • Count full service cash and finalize handheld

Requirements

  • High school diploma, GED or equivalent required
  • Associate's degree or equivalent preferred
  • 2-5 years of experience in an office environment required
  • Experience in cash room environment preferred
  • Experience using BASIS route accounting system preferred
  • Strong analytical, organizational and problem solving skills
  • Strong attention to detail and accuracy skills
  • Basic proficiency in Microsoft Office applications including Outlook, Excel and Word
  • Valid driver's license, driving record within policy guidelines, and insurance that meets company requirements
  • Ability to occasionally travel, as business needs require.
