About the position

The Office Administrator will play a crucial role in ensuring the smooth operation of our office. This individual will be responsible for managing a variety of administrative tasks, providing exceptional customer service, and supporting our team with a focus on organization, communication, and problem-solving. The ideal candidate will be detail-oriented, adaptable, and capable of thriving in a fast-paced environment. Key responsibilities include performing general office duties such as filing, data entry, scheduling, and managing correspondence. The Office Administrator will maintain an organized and efficient office environment, manage office supplies and inventory, and serve as the primary point of contact for internal and external communications. This role requires providing exceptional service to clients, visitors, and staff, addressing and resolving issues promptly and effectively. Additionally, the Office Administrator will identify and address operational challenges, develop and implement solutions to improve office processes, and work closely with other team members and departments to support organizational goals. Adaptability is key, as the individual must quickly learn new systems and processes and adjust to changing priorities and work conditions with ease. Resourcefulness in utilizing available resources efficiently and seeking out additional tools or solutions to enhance productivity is also essential. The candidate should be goal-oriented, setting and achieving personal and team objectives, and maintaining high performance and professionalism while working under pressure or with tight deadlines.

Responsibilities

  • Perform general office duties including filing, data entry, scheduling, and managing correspondence.
  • Maintain an organized and efficient office environment; manage office supplies and inventory.
  • Serve as the primary point of contact for internal and external communications; handle phone calls, emails, and in-person inquiries professionally.
  • Provide exceptional service to clients, visitors, and staff; address and resolve issues promptly and effectively.
  • Identify and address operational challenges; develop and implement solutions to improve office processes.
  • Work closely with other team members and departments to support organizational goals and ensure seamless operations.
  • Quickly learn new systems and processes; adjust to changing priorities and work conditions with ease.
  • Utilize available resources efficiently and seek out additional tools or solutions as needed to enhance productivity.
  • Set and achieve personal and team objectives; contribute to the overall success of the organization.
  • Maintain high performance and professionalism while working under pressure or with tight deadlines.

Requirements

  • Proven 3-5 years experience in an office administrative role or similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Proficient in Google Suite.
  • Experience in a high-paced environment.
