About the position

HealingUS Centers is currently seeking a highly organized and detail-oriented Office Administrator to join our team. In this role, you will play a crucial part in ensuring the smooth operation of our office and providing essential support to our staff and clients. Your responsibilities will encompass managing various office operations, which include maintaining supplies, coordinating appointments, and overseeing the management of incoming and outgoing mail. You will also assist with a range of administrative tasks such as data entry, filing, and document preparation, which are vital for the efficient functioning of our office. As an Office Administrator, you will be responsible for booking, coordinating, and preparing rooms for consultations and meetings, as well as maintaining calendars to ensure that all appointments are managed effectively. You will be the first point of contact for our clients, answering phone calls and responding to inquiries in a professional and courteous manner. Greeting and assisting clients and visitors will be a key part of your role, as you will help create a welcoming environment. Additionally, you will be tasked with keeping waiting areas and front offices clean and presentable, which is essential for maintaining a professional atmosphere. Your role will also involve coordinating meetings and events, performing receptionist, clerical, and administrative duties as required, and contributing to a positive and collaborative team environment. You will provide support to the Behavioral Health Services department, ensuring that all clients are greeted in a friendly and professional manner. Handling check-in procedures and managing client records will require you to handle confidential information with a high degree of integrity, adhering to all HIPAA and confidentiality policies and practices. Participation in all mandatory trainings and attending in-service training as required will be expected, along with assisting with administrative reviews and audits as necessary. Other duties may be assigned as needed, making flexibility and adaptability important traits for this position.

Requirements

  • High school diploma or equivalent (required)
  • Previous experience in office administration or a related field (preferred)
  • Excellent organizational and multitasking skills
  • Strong attention to detail
  • Proficiency in Google Suite
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
