About the position

WC Rouse & Son is seeking a dedicated Office Administrator to join our team in Columbia, SC. This full-time position is essential for maintaining the smooth operation of our office and supporting our service group. The Office Administrator will be responsible for a variety of tasks that ensure efficient office management and excellent customer service. The ideal candidate will thrive in a collaborative environment and possess strong organizational skills to handle multiple responsibilities effectively. In this role, you will be the first point of contact for incoming calls and will manage the office supplies and equipment in coordination with our IT partner. You will also be responsible for maintaining security protocols by updating alarm codes and managing access to our cloud storage system. Daily tasks will include mail collection, coordination with cleaning and lawn service companies, and ensuring that our office environment is welcoming and functional. Additionally, you will support our service group by preparing work orders for invoicing, collaborating with the Service Manager and Sales Representatives to ensure accuracy and completeness. This includes assembling service report packages, booking travel accommodations, and providing backup support for the coordinator. Your role will also involve assisting the Aftermarket Sales and Service Manager with service proposals and other administrative tasks as required by management. This position offers a competitive salary starting at $17 per hour, with opportunities for growth in income and expertise. Responsibilities

  • Answer and transfer inbound calls
  • Maintain office supplies
  • Manage copiers in coordination with IT Partner
  • Maintain and update alarm codes per employee
  • Collect and deliver daily mail
  • Coordinate with office cleaning companies
  • Coordinate with lawn service companies
  • Pickup PO Box daily
  • File documents both physically and in cloud storage
  • Assist remote employees with access to filed information
  • Work with insurance broker to provide Certificates of Insurance to customers
  • Track and update contact information for team members
  • Collaborate with HR and Leadership on team activities and corporate communications
  • Prepare work orders for invoicing with assistance from Service Manager/Sales Rep
  • Review work orders for errors and ensure proper verbiage and descriptions
  • Send prepared work orders to Service Invoicing Specialist
  • Assemble Service Report PDF packages
  • Book travel and accommodations
  • Make 24-hour pre-service calls to all service customers
  • Create or modify work orders for technicians as a backup to the coordinator
  • Assist Aftermarket Sales and Service Manager with preparation of service proposals

Requirements

  • High School diploma or equivalent education credit; Bachelor's Degree is a plus
  • Five or more years of experience as an Administrative Assistant in Construction, HVAC, or a similar industry
  • Strong computer skills are required
  • Strong experience with Microsoft Office products is required
  • A continuous improvement mentality
