The Office Administrator will also identify opportunities for process improvements in travel and expense management while adhering to the company's travel guidelines. A key aspect of this role involves tracking travel dates and expenses to ensure compliance and documenting any discrepancies that arise. In addition to travel coordination, the Office Administrator will gather feedback from employees regarding their travel experiences to inform future improvements. The role also encompasses planning, budgeting, and organizing company events throughout the year, which requires collaboration with both internal partners and external vendors. The Office Administrator will be responsible for researching and sourcing vendors for these events, ensuring that all logistics are managed effectively. Furthermore, this position includes acting as a back-up for front desk operations and handling various ad hoc projects and duties as needed. The ideal candidate for this position will possess strong organizational skills, the ability to multitask, and a proactive approach to problem-solving. Attention to detail is essential, as is the ability to communicate effectively in both verbal and written forms. Bilingual proficiency in Mandarin and English is required, along with a solid understanding of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. This full-time role is based in Sunnyvale, CA, and offers a competitive salary range of $55,291 to $58,499 per year.

Responsibilities

  • Coordinate domestic and international business travel arrangements for employees.
  • Prepare and submit domestic and international travel and monthly expense reports using the internal system.
  • Identify opportunities to improve travel & expense processes while maintaining the HQ travel guidelines.
  • Keep track of initial travel dates and expenses to ensure alignment with final travel dates, documenting discrepancies for internal compliance.
  • Collect feedback from US employees regarding their business travel experiences to inform process improvements.
  • Plan, budget, and organize year-wide company events, managing event logistics in collaboration with internal partners and external vendors.
  • Research and source external vendors for company events.
  • Act as back-up to cover front desk operations.
  • Handle ad hoc projects and duties as assigned.

Requirements

  • Bachelor's degree or equivalent experience.
  • 3 years of related experience in an administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal, email, and written communication skills.
  • Strong attention to detail and ability to work under pressure.
  • Bilingual in Mandarin and English.
