About the position

Olgoonik is seeking an Office Administrator to support the Program and/or Business Manager in completing various administrative tasks associated with multi-year construction projects. This role is crucial in ensuring that the office runs smoothly and efficiently, providing essential support to both management and staff. The Office Administrator will be responsible for answering a multi-line phone system, greeting and directing visitors, including vendors, clients, job candidates, and customers. This position requires a proactive approach to assist the Program/Business Manager in preparing correspondence and managing client invoices to ensure timely processing for payment. Additionally, the Office Administrator will assist subcontractors with invoicing questions and will be responsible for accepting or rejecting subcontractor invoices based on the required documentation on file. Other duties may be assigned as necessary to support the office's operations. The ideal candidate will possess a high school diploma or equivalent, or have two years of applicable administrative experience. Experience with Davis Bacon wages and Certified Payrolls is preferred, along with a strong ability to follow written procedures. The Office Administrator must demonstrate outstanding grammar skills and have experience in preparing written correspondence. Attention to detail, organizational skills, and the ability to multi-task in a fast-paced environment are essential. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, is required. The position demands self-motivation and the ability to work effectively with minimal supervision, while also being a team player. The ability to type a minimum of 40-60 words per minute accurately is also necessary for this role.

Responsibilities

  • Answer multi-line phone system.
  • Greet and direct all visitors, including vendors, clients, job candidates, and customers.
  • Assist the Program/Business Manager with administrative tasks.
  • Prepare correspondence as requested by office staff.
  • Assist in the preparation of client invoices for payment processing.
  • Assist subcontractors with invoicing questions.
  • Accept or reject subcontractor invoices based on required documentation.
  • Perform additional duties as assigned.

Requirements

  • High school diploma or equivalent required, or two years of applicable administrative experience.
  • Experience with Davis Bacon wages and Certified Payrolls preferred.
  • Must have experience following written procedures.
  • Outstanding grammar skills and experience preparing written correspondence.
  • Detail-oriented and well-organized with the ability to multi-task.
