About the position

Join our team as a Properties & Facilities Office Administrator, supporting the day-to-day operations across a diverse portfolio of property assets. This role plays a crucial part in ensuring smooth operations within the Properties/Facilities Department, handling tasks from invoicing and tenant relations to maintenance coordination. As the Office Administrator, you will be responsible for managing purchase orders, credit card transactions, and monthly tenant invoices. You will act as the primary point of contact for departmental inquiries, both in-person and via communication channels, ensuring that all queries are addressed promptly and efficiently. In this position, you will coordinate maintenance activities, including scheduling and vendor communication, to ensure that all property needs are met in a timely manner. You will conduct data entry and maintain accurate records using cloud-based systems, which is essential for tracking property management activities. Additionally, you will assist in setting up new tenants and vendors, ensuring compliance with documentation requirements, and resolving any billing discrepancies to ensure timely payment processing. Collaboration is key in this role, as you will work closely with accounting departments to streamline financial processes and monitor customer accounts for payment status, facilitating collections when necessary. You will also prepare reports and assist in project management tasks as required.
