About the position

We are seeking a dedicated and detail-oriented Office Administrator to join our manufacturing client located near South Plainfield, NJ. This role is pivotal in providing comprehensive administrative support to the CEO and CFO, ensuring the smooth operation of the office. The ideal candidate will be responsible for a variety of tasks that include managing office supplies, coordinating mail and labeling, and assisting with accounts payable and receivable. Additionally, the Office Administrator will play a key role in the integration of the phone system, demonstrating adaptability and a willingness to take on ad hoc activities as required by their supervisors. The Office Administrator will also be tasked with managing phone calls, conducting mass emails, and maintaining calendars for the executive team. This position requires excellent communication skills, as the administrator will act as a liaison between employees, the IT support desk, and external IT vendors. The role also involves performing billing reviews, scheduling company events, and supporting meetings and presentations for the CFO and CEO. The successful candidate will possess a strong work ethic and the ability to multitask effectively in a fast-paced environment. This is an in-office position with a salary range of approximately $65,000 to $70,000, depending on experience. Candidates with a four-year degree and proficiency in QuickBooks, as well as Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word), are highly preferred. Responsibilities

  • Full Administrative Duties including Office, Mail, Post Office, Labeling, and Supply Coordination
  • Assists with AP, AR, and General Ledger
  • Phone Call management, transferring to VOIP
  • Conduct Mass Emails and Calendaring
  • Act as Liaison between Employees, IT Support Desk, and IT vendor
  • Perform Billing Reviews
  • Schedule Company Events, Lunches, and Travel
  • Support Meetings and Presentations for CFO and CEO

Requirements

  • 4 yr. degree, preferred
  • QuickBooks, required
  • Excel, Outlook, PowerPoint, and Word experience, required
  • Excellent Communication skills
