About the position

As an Office Administrator for a well-established third-generation roofing company in Richmond, you will play a crucial role in ensuring the smooth operation of day-to-day office activities. This position requires a detail-oriented individual who enjoys engaging with customers and potential business partners. You will be responsible for managing various administrative tasks, including reviewing invoices for accuracy and delivering them to clients. Your role will also involve fielding inbound calls, supporting client needs, and helping to generate positive reviews for the business. In addition to customer interaction, you will coordinate sales efforts with team members and other departments, manage the scheduling of sales visits, and follow up on leads. You will supply management with reports on customer needs, including competitive analysis and innovations for new products and services. Staying aware of best practices and promotional trends will be essential, as will your commitment to continuous improvement through feedback. Other duties may be assigned as needed, making adaptability a key trait for success in this role.

Responsibilities

  • Assist with the management of day-to-day office operations
  • Review invoices for accuracy and deliver them to clientele
  • Continuously field inbound calls, support client needs, and help generate reviews for the business

Requirements

  • Basic understanding of vendor invoices, purchase orders, and receiving documents
  • Organized and the ability to be multi-tasked oriented
  • Ability to work independently as well as with a team
  • Ability to communicate effectively across departments
  • Attention to detail and timely data entry skills
  • Analytical and problem-solver
  • Proficiency with Microsoft Office Suite and Google products
  • Proficiency with CRM systems, i.e. Acculynx
  • Excellent verbal and written communication skills
  • The ability to work efficiently and accurately under pressure, meet deadlines, present a professional demeanor, and work well independently and within a team environment
  • HS Diploma, GED or equivalent
  • Driver's License (Required)
  • One (1-3) year of relevant work experience (Office Admin/Customer Service)
