About the position

C/A Design, Inc. is seeking an Office Administrator to join our team at our new state-of-the-art facility in Exeter, NH, set to open in Summer 2024. As part of the Heico Companies, which generates over $3.2 billion in revenues, C/A Design is a leader in the Brazing industry, providing innovative cooling solutions through custom engineering. Our mission is to protect the Warfighter by delivering complex parts that meet the highest standards of precision manufacturing. In this role, the Office Administrator will serve as the first point of contact for all visitors to our facility, requiring a high degree of professionalism and presentation. The individual will interface with multiple departments and executives, supporting the operations of our world-class manufacturing facility. This position demands excellent customer service skills, as the Office Administrator will handle targeted customer inquiries for various product lines. The successful candidate will embody our culture of honesty, integrity, and good corporate citizenship, making this a highly visible role within the organization, reporting directly to the Vice President of Sales. Key responsibilities include managing guest reception, supporting event planning for company events and meetings, maintaining supply levels throughout the facility, and providing administrative support to various departments. The Office Administrator will also be responsible for managing calendars for shared spaces and ensuring that all visitors feel welcomed and valued. This position is crucial in fostering a proactive safety culture and ensuring smooth operations within the facility.

Responsibilities

  • Strive towards a culture of proactive safety.
  • Act as the point person for various customer inquiries, providing updates and administrative support to customers and the sales team.
  • Receive all guests and visitors to the facility.
  • Manage calendars for shared spaces.
  • Take the lead on event planning for all company events, conferences, and C-suite meetings.
  • Support the President with various administrative functions as requested.
  • Ensure various supplies located throughout the facility maintain appropriate stocking levels.
  • Receive, sort, and distribute daily mail as required.
  • Provide administrative support to various departments as requested.
  • Perform other duties as assigned.

Requirements

  • Associate's degree in business administration or a related field of study, or equivalent valuable experience.
  • Outgoing, friendly, and inviting demeanor, treating each visitor as a valuable guest.
  • Strong working knowledge of MS Office, including Outlook calendar management.
  • Outstanding customer service skills with a customer-focused mindset.
  • Professional demeanor with strong business acumen.
  • Event planning experience.
  • Familiarity with a complex and dynamic production/manufacturing environment.
