We are seeking a detail-oriented and organized Office Administrator to join our team in San Jose, CA. The ideal candidate will be responsible for overseeing daily office operations and providing administrative support to ensure the smooth running of our office. The Office Administrator will manage office supplies inventory, coordinate meetings, and assist in organizing office operations and procedures. Additionally, the candidate will handle incoming communications, maintain organized filing systems, and support training development initiatives for staff. This position requires a proactive individual who can multitask and prioritize effectively to meet the demands of a busy office environment.

Responsibilities

  • Manage office supplies inventory and place orders when necessary
  • Coordinate and schedule meetings, appointments, and events
  • Assist in organizing and coordinating office operations and procedures
  • Handle incoming calls, emails, and other communications
  • Maintain organized filing systems both electronically and physically
  • Support training development initiatives for staff
  • Provide general administrative support to all departments as needed

Requirements

  • Proven experience in office management, administrative roles, or related field
  • Proficiency in calendar management, file organization, and office software applications
  • Strong communication skills with excellent phone etiquette
  • Knowledge of medical office management or human resources is a plus
  • Ability to multitask and prioritize tasks effectively

Nice-to-haves

  • Experience with Microsoft Office (1 year preferred)
