About the position

Our Downers Grove office is looking for a responsible, reliable, and professional office administrator. This position is essential for the smooth operation of our office, and we are hoping to find someone who wants to grow with us. As the office administrator, you will be the go-to person for day-to-day as well as longer-term operational needs. Your role will involve being the first point of contact for our clients, ensuring that all inquiries are handled promptly and professionally. Your top priority will be answering and returning calls from customers as soon as possible, as well as following up on all leads, comments, and questions from emails, our website, and digital platforms. In this role, you will oversee and coordinate scheduling and services, working closely with our sales team and operation team to meet customers' needs and manage their satisfaction. You will also be responsible for using QuickBooks to process payments, create estimates, records, and invoices for our customers. Additionally, you will prepare monthly and/or quarterly summaries or reports of the finances and business. As the office grows, there will be new opportunities to expand on these skills and develop this position further, making it a dynamic and evolving role.

Responsibilities

  • Answer and return calls from customers promptly.
  • Follow up on all leads, comments, and questions from emails, website, and digital platforms.
  • Oversee and coordinate scheduling and services.
  • Work closely with the sales team and operation team to meet customer needs and manage satisfaction.
  • Use QuickBooks to process payments and create estimates, records, and invoices.
  • Prepare monthly and/or quarterly summaries or reports of finances and business.
  • Handle additional miscellaneous office-related duties.

Requirements

  • English-language proficiency
  • Proficiency in MS Office (Word, Excel in particular)
  • Working knowledge of office equipment (such as iMac, printer, scanner, multi-line telephone)
  • Excellent time-management and prioritization skills
  • Excellent written and verbal communication skills
  • Excellent organizational and multitasking skills
  • Customer service and/or sales experience

Nice-to-haves

  • Experience as an office manager, admin, administrative assistant, virtual assistant, or office admin assistant
