About the position

The Office and Facilities Administrator will coordinate office activities and operations, support HR and facilities activities, while providing clerical and administrative support to management. This role will support Fremont, Seattle (remote), and San Diego (remote) offices. The individual in this position will be responsible for ensuring that the office environment is organized, welcoming, and efficient, contributing to the overall productivity of the team. The administrator will greet and register visitors and new hires, directing them to the appropriate person or department, and will work closely with HR to facilitate new hire onboarding processes. This includes taking pictures and administering badges for new hires, visitors, and temporary workers. In addition to visitor management, the Office and Facilities Administrator will manage and distribute incoming and outgoing mail and packages, organize office events as requested, and ensure that the facilities are clean, organized, and presentable to employees and visitors. This role will involve working with a cleaning company as needed and submitting service requests for facilities repairs. The administrator will also be responsible for ordering weekly lunches and providing catering support for internal meetings and outside events, as well as purchasing and maintaining office supplies and break-room inventory. Furthermore, the role includes facilitating and coordinating travel and accommodations for candidates and international employees, and supporting site safety initiatives as needed. The administrator will assist executives with various duties as required, ensuring smooth operations within the office environment.

Responsibilities

Requirements

  • Bachelor's Degree Preferred.
  • High School Diploma or GED accepted if meeting experience qualifications.
  • At least 5 years of experience in an Administrative Assistant or Office Administrator role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Teams, SharePoint, Outlook) and familiarity with office equipment.
  • Savvy with phone apps and comfortable with technology.
